Oil Analysis

Privacy Policy

For the Oil Analysis mobile app (iOS and Android)
Effective 7 October 2026  ·  Last updated 7 October 2026

We do not sell your data. We do not share it with third parties. We do not use it for advertising. Your data is not shared with any artificial intelligence service and is not used to train AI models. Everything the app sends is stored on servers we own and operate ourselves.

The Oil Analysis app is published by Wear-Check Canada Inc. (“WearCheck”, “we”, “us”). This policy explains what the app collects, why we collect it, who can see it, and what you can ask us to do with it. It applies only to the Oil Analysis app and the oil analysis service it connects to.

The app is a business tool for customers of a WearCheck oil analysis programme. It is not available to the general public: accounts are issued by WearCheck or by your own organisation’s administrator, and there is no sign-up inside the app. In almost every case the account belongs to your employer, and the sample data you enter belongs to your employer too.

1. What the app collects

Account and sign-in information

Your user name and password, which the app sends to our server to sign you in. We also record your app version so we can support you.

Sample and asset information you enter

The information you supply while taking a sample or managing equipment: sample numbers and scanned bottle codes, machine and component identifiers, fluid type and manufacturer, fluid and machine hours or mileage, filter and maintenance details, sampling dates, and any comments you type. When you add a new machine or component, the details you enter for it.

Photographs

You can attach up to two photographs to a sample. Those images are sent with the sample and stored with the sample record. The app takes photographs only when you tap the camera button, and it does not read your device’s photo library or camera roll.

Barcode and QR code scans

The camera is used to read the barcode or QR code on a sample bottle, a machine tag or a sampling point tag. The camera preview is used to decode the code and is not recorded. Only the decoded code is kept.

Location — optional

If you grant location permission, the app records the coordinates of the device when you sign in and when you submit a sample, and sends them with the sample. This is so a sample can be tied to where it was actually taken, which matters when equipment is in the field and when results are later disputed.

Location is optional. If you deny the permission, or turn it off later in your device settings, the app works normally — you can still scan, record and submit samples. No coordinates are recorded in that case. The app does not track your location in the background and does not collect location while it is closed.

Device information

At sign-in the app sends a technical description of your device: the platform (iOS or Android), operating system version, device model and manufacturer, and the device identifiers made available to the app by the operating system. We use this to reproduce and fix problems, and to know which devices and OS versions we still need to support.

Information held only on your device

The app keeps data in its own private storage on your phone or tablet so it can work without a signal:

This storage is private to the app. Uninstalling the app erases it — including any samples still waiting in the offline queue, so let the app sync before you remove it.

2. What we do with it

We use the information above only to:

We do not profile you, score you, or make automated decisions about you. We do not use your information to market anything to you through the app.

3. What we do not do

4. Who can see your information

Access is limited to:

Beyond this we disclose information only where we are legally compelled to — a court order, a warrant, or a binding request from a regulator — or where it is necessary to establish or defend a legal claim. If WearCheck were ever sold or reorganised, information could pass to the successor organisation, which would remain bound by this policy.

5. Permissions the app asks for

PermissionWhyIf you refuse
Camera Scanning bottle, machine and sample point codes; taking the optional sample photographs You can still type sample and machine numbers by hand, and submit samples without photographs
Location Recording where a sample was taken The app works normally. No coordinates are recorded
Notifications Reminders about scheduled samples and samples still waiting to be submitted. These are generated on your device You simply do not receive the reminders
Network / internet Signing in, submitting samples, retrieving results Required. Without it the app can only work offline against data already on the device

You can change any of these at any time in your device settings, and the app will respect the change the next time it needs them.

6. Where your data is held, and how it is protected

Your data is stored on servers owned and operated by Wear-Check Canada Inc. in our own facilities in Canada. We do not host it with a third-party cloud provider.

Traffic between the app and our servers travels over an encrypted HTTPS connection. Access to the systems that hold your data is restricted to staff who need it, and is controlled by individual accounts. Our premises and systems are subject to the physical and administrative controls appropriate to a laboratory handling customer data.

No system is perfectly secure, and we cannot guarantee absolute security. If a breach affecting your personal information occurs, we will notify you and the relevant authorities as the law requires.

7. How long we keep it

8. Your rights

Wherever you are, you can ask us to:

Write to support@oilanalysis.net and we will respond within 30 days. We may need to confirm your identity first. There is no charge unless a request is clearly excessive or repetitive.

One limit is worth being straightforward about: because your account is issued to your employer and the sample data is your employer’s business record, we may need to involve your organisation’s administrator in a request to delete sample data, and we may not be able to delete records your employer is entitled or obliged to keep. Requests about your own account details are not affected by this.

Deleting your account

The app does not create accounts, so it cannot delete them. To have your account closed and your personal details removed, email support@oilanalysis.net from your registered address, or ask your organisation’s administrator. To remove the copy held on your phone, sign out and uninstall the app — let it finish syncing first so that nothing in the offline queue is lost.

9. Children

The Oil Analysis app is a workplace tool for people working in industrial maintenance. It is not directed at children, and we do not knowingly collect personal information from anyone under 16. If you believe a child has provided us with personal information, contact us and we will delete it.

10. Canada — PIPEDA

Wear-Check Canada Inc. is a Canadian organisation and handles personal information in accordance with the Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy legislation. We collect only what we need for the purposes described above, keep it accurate, protect it with safeguards appropriate to its sensitivity, and are accountable for it.

If you are not satisfied with our response to a privacy concern, you may contact the Office of the Privacy Commissioner of Canada at www.priv.gc.ca.

11. Europe and the United Kingdom — GDPR

If you use the app in the European Economic Area, the United Kingdom or Switzerland, the following applies in addition to everything above.

Who is responsible

For the account and device information needed to run the app, Wear-Check Canada Inc. is the controller. For the sample data you record in the course of your work, your employer is generally the controller and WearCheck acts as a processor on its instructions under our agreement with it. If you are unsure which applies to you, ask us and we will tell you.

Lawful basis

Your GDPR rights

In addition to the rights in section 8, you have the right to restrict or object to processing, the right to data portability, and the right not to be subject to decisions based solely on automated processing — we do not carry out any such processing. To exercise any of these, email support@oilanalysis.net.

You also have the right to lodge a complaint with your national supervisory authority. In Belgium this is the Gegevensbeschermingsautoriteit / Autorité de protection des données (www.dataprotectionauthority.be); in the United Kingdom, the Information Commissioner’s Office (ico.org.uk).

Transfers outside the EEA

Your data is stored in Canada. The European Commission has determined that Canadian organisations subject to PIPEDA provide an adequate level of protection for personal data (Commission Decision 2002/2/EC of 20 December 2001), and WearCheck is such an organisation. Transfers to us therefore take place on the basis of that adequacy decision. Where we need to rely on another mechanism, we use the European Commission’s Standard Contractual Clauses.

12. Changes to this policy

If we change this policy we will update the date at the top of this page. If a change materially affects how we handle your information, we will tell you in the app or by email before it takes effect. The current version is always published at mobile.oilanalysis.net/privacy.php.
